Direct Answer: The PTO Balance Formula
Your current available PTO balance is calculated using this fundamental formula:
Available Balance = (Rollover Balance + Accrued Hours) - PTO Taken
To determine your net remaining balance for future planning, also deduct pending approved time off:
Net Remaining Balance = Available Balance - Scheduled PTO
Worked Example
Suppose you rolled over 16 hours from last year. Over the first 8 pay periods of this year, you accrued 36.92 hours. You took an 8-hour personal day in February and have a 16-hour trip scheduled for next month:
- Gross Accrued: 16 + 36.92 = 52.92 hours.
- Available Today: 52.92 - 8 (taken) = 44.92 hours.
- Net Remaining: 44.92 - 16 (scheduled) = 28.92 hours (3.61 workdays).
